Nomination Period & Process (Nov 18 – Dec 8)

  • The nomination period opens November 18, 2025.
  • Nominations close Monday, December 8 at 5:00 p.m.
  • Any HYFCA member in good standing may nominate a candidate for any open position.
  • In order to nominate a candidate, the member must email the Board Secretary at [email protected] with the nominee's name and the position in which they are being nominated.  It can be as simple as stating "I nominate John Doe to the President of the Jr Whip-Pur."
  • Nominations must be submitted during this timeframe only. Nominations will not be accepted from the floor on the day of the Election, nor will write-in names be counted.

Acceptance of Nomination (Deadline: Dec 10)

  • Once a nominee receives both a nomination and second (i.e. two nominations), the Secretary will notify the nominee.
  • Each nominee must state whether they accept or decline the nomination.
  • Deadline to accept: December 10 at 5:00 p.m.

Only nominees who accept by this date will appear on the ballot.

Election Meeting (Dec 15)

The election will be an official agenda item during the December 15 Board Meeting.  All members in good standing who have attended a minimum of 6 (six) meetings  of the Board of Directors during Calendar Year 2025 will be eligible to serve as electors.  You will only be counted as having attended if you singed into the official sign-in sheet at the meeting.

Candidate Speeches

  • Each candidate may address the membership for up to three (3) minutes before voting begins.

Voting Process

  • Electors will vote by secret ballot immediately following the speeches.

Ballot Counting

  • Because the Secretary is a candidate in this election, he will recuse themselves from ballot handling.
  • Ballots will be counted by two members who are NOT running for office.
  • These two members will announce the election results.

Installation of the New Board

  • Winners will assume their roles immediately at the close of the meeting.
The new Board of Directors will be sworn in at that time.
